Using Webmail: Troubleshooting Email and Managing Your Mailboxes
Webmail is the browser version of your email. There is nothing to install, and it works from any computer or phone. Above all, it always shows the true state of what is actually on the mail server. So it is the thing to reach for when your normal email program starts misbehaving. It is also where you handle quick jobs like an out-of-office reply. This guide covers using webmail from start to finish: getting in, working out where an email problem is, what to do if your connection gets blocked, the tools inside webmail, and how to add or change mailboxes.
Getting into webmail
- In any web browser, go to https://tekwizard.net/webmail (swap in your own domain), or https://webmail.yourdomain.com.
- Sign in with your full email address (e.g. you@yourdomain.com) and your mailbox password — not your website or hosting login.
- If it asks which webmail application to open, choose Roundcube, and tick the option to go straight to your inbox next time.

First step when email stops working: check webmail
Webmail talks straight to the mail server, with nothing in between. So it is the quickest way to find out where a problem is.
- Webmail works fine — the server and your password are OK. The problem is on your device or in your mail app: a wrong setting, an out-of-date password, or the app simply needs restarting.
- Webmail also refuses your login — either the password is wrong or has been changed, or your internet connection has been temporarily blocked (see If your connection is blocked below).
- Webmail logs in, but no new mail arrives or you cannot send — note exactly what happens, then read the next section.
Common email problems and what they usually mean
- Constant “enter your password” prompts — the saved password on that device is wrong, usually because it was changed somewhere else. Re-enter it in the account settings, or remove and re-add the account. Until you do, that device keeps failing in the background — and that is the usual cause of a whole connection being blocked (below).
- Can receive but cannot send — an outgoing (SMTP) settings problem. Check: outgoing server
mail.yourdomain.com, port 465 with SSL/TLS, and “my outgoing server requires authentication” turned on, using the same username and password as incoming. - Can send but not receive — an incoming (IMAP/POP) settings problem, or the mailbox is full.
- “Mailbox full” behaviour — send failures, “cannot copy to Sent”, the program freezing or asking for the password over and over. Free up space (see Free up space below, and our guide to archiving email).
- Works on the computer but not the phone (or the other way round) — it is device-specific. Check that one device’s account settings and password.
- Nothing works on any device on the same network — your internet connection may be blocked. Read the next section.
Whatever the symptom, try it in webmail first. If webmail can do it, your setup is fine and the fix is on the device.
If your connection is blocked
Our mail server automatically blocks any internet connection that racks up too many failed email logins in a short time. Almost always, that is a phone or computer with an old password saved, retrying over and over. The block stops password-guessing attacks. However, it also stops you getting email from that location, on every device, until it is lifted.
How you will know: email stops on everything at that location at once. Also, if you open a browser to webmail, you may see a “your connection is temporarily blocked” page showing your IP address.
What happens automatically: if the connection looks like yours, we email a one-time unblock link to the contact address on your hosting account. That is the separate address — Gmail, Outlook and so on — you gave us when the account was set up. In other words, not an address on the blocked domain.
What to do:
- Fix the cause first. On the device you most recently set up or changed the password on, correct the mailbox password in its settings, or remove and re-add the account. If you skip this, the block comes straight back within minutes.
- Open the unblock email and click “Unblock now”. Open it on a phone using mobile data, or on another network — the blocked connection cannot reach the unblock page itself.
If you did not get the email, or cannot wait: the block clears on its own within about an hour. To have it lifted sooner, contact us with your current IP address. Search the web for “what is my IP ipv4” from the affected connection. Then copy and paste that number to us in a message, or read it out on the phone — a screenshot is harder for us to work with.
Using webmail: the built-in settings
Beyond reading and sending, webmail holds the everyday settings for your mailbox. From the inbox, open the account menu at the top right (or the Settings / cog icon).
Set an out-of-office reply (autoresponder)
- Autoresponders → Add Autoresponder.
- Leave the interval at 24 hours, fill in a subject and message, and set a start and — importantly — a stop date.
- Create, then test it by emailing yourself from another address.
Forward a copy of your mail elsewhere
Forwarders → Add Forwarder → enter the destination address. You can also keep a copy in this mailbox.
Sort incoming mail automatically (filters)
Email Filters → Create a New Filter. Match on sender, subject and so on, then choose an action — move to a folder, mark as read, or discard. Handy for newsletters and system notifications.
Change your mailbox password
Password & Security → set a new password. Do this if you think it has been guessed, or after someone with access leaves. Then update the new password on every device that checks this mailbox, straight away — any device left on the old password will start failing and can get your whole connection blocked.
Free up space
Email Disk Usage shows how much space each folder is using and lets you find and delete large or old messages in bulk. Also empty Trash and Junk — deleted mail keeps taking up space until it is purged. For a proper clean-up, see our guide to archiving email.
Set up your phone or computer
Connect Devices (sometimes labelled “Configure Mail Client”) lists the exact server settings, and on some devices can set the account up for you automatically.
Calendars and contacts
Webmail also has a shared calendar and address book under Calendars and Contacts, which you can sync to your phone.
Adding or changing mailboxes
This is the one thing you cannot do from webmail. Webmail only ever manages the single mailbox you logged in with. So for anything else — adding an email address, deleting one, changing another mailbox’s password or storage size, or setting up a catch-all — you use cPanel. That is the control panel for your whole hosting account. Our guide to using cPanel walks through this and everything else it can do.
- Go to https://tekwizard.net/cpanel (or https://cpanel.yourdomain.com) and sign in with your hosting account login — the main username and password for the account, not an individual mailbox password. If you have never used it, we set that login when your site was built, so just ask us if you are not sure.
- Open Email Accounts.
- Create — enter the new address, set a password, and choose a storage size (2–5 GB suits most people).
- To change an existing mailbox, use Manage next to it — reset its password, change its storage, or delete it.
Mailbox or forwarder — which do you need?
- A mailbox is a real inbox with its own login and storage — for a person or a role someone actually signs into (sales@, accounts@).
- A forwarder has no inbox and no login; it just passes mail straight on to another address. Good for an address you want to publish but read somewhere else (info@ → your main mailbox). Set these up in cPanel under Forwarders.
Webmail or a mail app — when to use which
- A mail app (Outlook, Apple Mail, Thunderbird, your phone’s Mail app) is best day to day — it keeps a local copy so you can work offline, and it can hold several accounts in one place.
- Webmail is best when you are away from your own computer, on someone else’s device, when your mail app is playing up, for a quick check, or for the settings jobs above.
Both show the same mailbox, so anything you file or delete in one appears in the other — as long as your mail app uses IMAP, which is the default.
A quick checklist
- ✅ Bookmark tekwizard.net/webmail now.
- ✅ Know your cPanel login (for adding and managing mailboxes) — or know who does.
- ✅ If email breaks, try webmail first to find out where the problem is.
- ✅ After any password change, update it on every device immediately.
- ✅ If your connection gets blocked, fix the device first, then use the unblock link we email you.
